Provide administrative support as the associate residency program coordinator. Manage the day-to-functions of the orthopedic medical student clerkship program. Collaborates with the clerkship director and sites to oversee education and assessments of over 50 medical students during a years’ time. Manage administration of the program including registration, schedule, orientation education sessions, scholarships and examinations. Assist with other assignments as it relates to orthopedic residency education. Dependent on candidate performance and interest, this position has the potential to be restructured to include fellowship coordination duties. Potential growth to include fellowship coordination.

Job Duties:

1) Manages day-to-day operations of medical student program (55%)

  • Independently manages first line of communication for medical students interested in rotating through orthopedic surgery.
  • Manages oversight of incoming students, providing them with documentation before their rotation begins.
  • Conducts orientation and manages rotation schedules for duration of the rotation.
  • Manages case presentations, educational sessions, and final exams

Schedules/Evaluations/Grades

  • Advises all sites of calendars, schedules and rotations. Keeps abreast of changing policies and communicates changes to affiliate sites.
  • Oversees application process, confirming rotations and evaluations process
  • Manage the Visiting Student Application Process through the AAMC’s VSLO interface
  • Communicates with and directs students on rotations, including visiting students
  • Manages and monitors evaluation process for all sites in conjunction with the clerkship director.
  • Administers online documentation in regard to rotations and evaluations for students.
  • Analyzes multiple data points to assess and post grades in accordance with medical school and LCME policy, including meeting/exceeding deadlines
  • Compiles evaluations of medical students for residency recruitment purposes

Medical student program overall maintenance

  • Meet routinely with the medical student clerkship director
  • Manage and promote diversity initiatives within the department and medical school
  • Liaison for medical students who are orthopedic bound
  • Management of the information of the orthopedic bound medical students (i.e. departmental resources)
  • Coordinate with Orthopedic Surgery Interest Group (OSIG) to run events as needed

Annual review of medical student program

  • Manages performance analyses of medical student rotations, educators, and residents
  • In collaboration with clerkship director, oversees and reviews overall aspects of rotations for strengths and weaknesses. Advises on updates that should occurs
  • Manages schedules for numbers and accuracy. Independently submits reviews to Office of Medical Education as needed.
  • Independently updates goals and objectives as needed or mandated.
  • Advises clerkships director on grading criteria.

Medical Student recruitment and event management

  • Monitors and manages website information as it pertains to medical students in orthopedic surgery.
  • Coordinate Perry Initiative events within the department.
  • Connect with medical students interested in research opportunities within the department.
  • Schedules end of rotation debrief meeting with clerkship director
  • Coordination for medical student chair letter process, including scheduling meetings, and transcription of letters
  • Coordinate with Orthopedic Surgery Interest Group (OSIG) to run events as needed

Administrative support for Health & Human Disease 3 (HHD3)

  • Manages all aspects of Bellringers musculoskeletal exam workshop (topic- specific educational small groups for medical students).
  • Manage and coordinate medical student lecture schedule, recruit faculty, distribute information as needed to faculty and students
  • Promotes events, coordinates logistical and educational components of program.
  • Reviews program with clerkship director and manages changes needed.

2) Continuing Professional Development/Continuing Professional Education Coordination (25%)
Huntington Bank Athletic Medicine Grand Rounds and Department of Orthopedic Surgery Grand Rounds

  • Maintains CME process for Grand Rounds including accreditation and budgeting on a yearly basis.
  • Plans the schedule for Grand Rounds, abiding by the requirements of the program.
  • Coordinates with Grand Rounds Director the visiting professors coming for Grand  Rounds
  • Make arrangements for visiting professors (ie: hotel room, dinner reservations, etc).
  • Handles reimbursement for visiting professors.
  • Works with Communications Specialist to promote visiting professors.
  • Track and report attendance for Grand Rounds

3) Associate residency program coordinator (20%)

  • Backup support for orthopedic surgery residency program, including ability to cross-cover for staff
  • Tracking and reporting of resident time away
  • Field resident verification requests and complete documentation as requested
  • Data entry into residency program dashboard
  • Support to prepare Clinical Competency Committee (CCC) evaluations
  • Support staff for resident interview days
  • Support staff for residency graduation
  • Participation in education meetings and department meetings as assigned
  • Room setup and teardown for residency program events
  • General office support to include filing, duplicating, collating documents for meetings or reports

The salary range for this position is $20.38-$30.43.

Qualifications

Required Qualifications:

  • High School Diploma / GED and 5 years of progressively more responsible office administrative experience to include project management. Coursework in a related field may substitute for some years of experience
  • Experience providing administrative support in a fast-paced environment
  • Experience providing administrative support to senior level directors and managers
  • Experience planning and coordinating meetings; experience with electronic calendars or other schedule management systems
  • Experience utilizing a variety of computer applications including MS Office
  • Work experience with University of Minnesota Orthopedic Surgery education programs
  • Ability to effectively function as a member of a team and interact with a variety of stakeholders
  • Demonstrates initiative in problem solving and implementing innovative solutions

Preferred Qualifications:

  • Knowledge of Undergraduate/Graduate Medical Education regulations and requirements
  • Experience creating, documenting and disseminating, agendas, meeting minutes and follow-up items for various committee meetings.
  • Experience scheduling and managing complex calendars for Surgical Education activities
  • High proficiency computer applications including Google, Microsoft Office and computer applications in evaluation or learning management systems.
  • Experience working in medical education, including working with faculty, medical students, residents, fellows and administrative assistants
  • Excellent verbal/written communication skills with leadership emphasis
  • Excellent organizational and time management skills
  • Demonstrated ability to work on multiple projects at the same time
  • Experience assisting in program related education activities
  • Strong customer service skills
  • Strong analytical thinking skills
